Sample & Quotation Request Guide for Sustainable Material Selection

What Triggers a Requote — and How to Stop It Before It Starts #

The most common reason a sustainable packaging quote comes back wrong is not price. It’s an incomplete brief. When a buyer asks for “recycled board” without specifying PCR content percentage, post-consumer versus post-industrial origin, or whether FSC chain-of-custody certification is required on the final box, we have to make assumptions. Those assumptions get priced in. Then the sample arrives and the spec doesn’t match what the buyer had in mind, and we’re restarting from scratch.

Sustainable material selection adds a layer of complexity that conventional packaging briefs don’t account for. A standard folding carton brief asks for dimensions, quantity, and print finish. A sustainable brief also needs to answer: Is this material intended to support a specific on-pack claim (FSC-certified, compostable, X% PCR)? Does the end market require regulatory documentation (EU PPWR compliance, FDA 21 CFR food contact, DIN CERTCO composting certification)? Is the material selection driven by brand policy, retail customer requirements, or end-of-life performance?

We call this the S-brief gate internally — no sample or quotation work starts on sustainable material projects until these three questions are answered. Skipping it costs everyone time.

The Root Cause Most Buyers Miss — Material Certification vs. Material Property #

There is a persistent confusion in sustainable packaging briefs between material performance and certification status, and it causes more requotes than any other single factor.

A buyer will specify “FSC certified kraft paper” and assume that covers their sustainability requirement. What it actually confirms is chain-of-custody of the wood fibre source, per FSC-STD-40-004. It says nothing about the paper’s recyclability in the destination market, its barrier coating type (which may or may not be fibre-recyclable), its basis weight, or whether the finished box can carry an FSC on-product label or only a promotional FSC claim. These are four separate questions, and each one has a different answer path.

The confusion runs the other direction too. Some buyers specify a recycled content percentage — say, 80% PCR board — without asking for certification. PCR content claims without third-party verification (typically through a body accredited under ISO 14021 environmental claims standards) are increasingly non-compliant in the EU under the Green Claims Directive and may not pass retailer sustainability audits in the US. We’ve had briefs where the buyer’s compliance team rejected a sample that met the original brief exactly, because the brief didn’t reflect the compliance team’s actual requirements.

The measurement method for confirming PCR content on incoming board is TAPPI T 411 caliper plus supplier mill test certificates cross-referenced against our incoming lot documentation (logged under our MR-12 material certification tracker). For compostability, we require a valid certificate to EN 13432 or ASTM D6400 depending on destination market — EU shipments require EN 13432, North America requires ASTM D6400 or equivalent. Certificates that are expired by more than 24 months are not accepted, per our supplier qualification protocol.

The threshold that should trigger a flag: if a supplier quotes a “sustainable” material without being able to provide a mill test certificate AND a third-party certification number within 48 hours of request, that’s a sourcing risk you should escalate before the sample stage.

Corrective Actions When a Brief Has Already Gone Out Incomplete #

If you’ve already sent a request and the brief is missing key information, here’s how to recover, in order of impact:

  1. Send a certification addendum immediately. Even if dimensions and quantity are confirmed, send a follow-up specifying which certification or compliance claims are required. This prevents the factory from ordering non-certifiable material before your correction arrives. Material procurement for sustainable grades often has a 5–10 working day lead time — getting the correction in early saves a full cycle.

  2. Request a material data sheet before white sample approval. Before committing to printed proofs, ask for the supplier’s material TDS (technical data sheet) showing basis weight (gsm), caliper (mm), PCR content percentage, and certification status. For folding carton grades, typical sustainable options run from 230–400 gsm; for flexible films, 50–120 µm. Confirming this on paper costs nothing and prevents a substrate mismatch arriving on a physical sample.

  3. Specify your print process constraints upfront. Sustainable substrates — particularly uncoated recycled boards and bio-based films — behave differently under litho and flexo ink. Uncoated 100% recycled board typically absorbs 15–25% more ink than coated virgin stock at equivalent coverage, which shifts colour proofing targets. If your brand has Pantone references or G7 calibration requirements, state them in the brief, not after the first printed proof.

  4. Define quantity tiers in the RFQ, not after first quote receipt. Sustainable materials carry higher per-unit cost at low MOQs, but the cost delta compresses significantly at volume. Our minimum order for FSC-certified folding carton runs is typically 3,000 units; at 10,000+ units, the certified board premium over standard board is often under 8–12%. Requesting tiered pricing at 3,000 / 5,000 / 10,000 units in the initial RFQ gives you a real picture of the cost curve rather than a snapshot at one volume point.

  5. Align internally before the sample evaluation stage. A mismatch between the procurement brief and the compliance team’s requirements is the single costliest delay pattern. The fix is a 30-minute internal alignment call before the brief goes out — not after the sample is rejected.

Prevention — Specifying Sustainable Materials Correctly from Day One #

Put these items in your spec sheet or purchase order brief, not in follow-up emails:

  • Material type, basis weight (gsm), and caliper (mm)
  • PCR content % and origin (post-consumer / post-industrial)
  • Required certification and certificate number or accreditation body
  • End-of-life claim (recyclable / industrially compostable / home compostable) with destination market
  • Applicable regulatory standard (EU PPWR, FDA 21 CFR, EN 13432, ASTM D6400)
  • On-pack label requirement (FSC label type, recycling loop mark, composting symbol)
  • Artwork files: PDF/X-1a or PDF/X-4, 300 dpi minimum, 3mm bleed on all sides, CMYK colour mode, Pantone references called out separately

The single document to request from any supplier at brief stage: their current Approved Vendor List (AVL) for sustainable substrates, showing certification numbers and expiry dates. If a supplier cannot produce this, material traceability is not in place.

Specification Notes for Brand Partners #

When you brief us on a sustainable packaging project, the information we need before issuing a quote or starting a white sample is: finished box or pack dimensions (L × W × H in mm), weight and fragility of the product inside (this determines structural grade), desired material type and any certification requirements, print method preference if known, and intended end market for regulatory compliance mapping.

The brief gap that causes the most back-and-forth is a missing or vague sustainability claim requirement. “Eco-friendly” as a brief instruction tells us nothing actionable. “FSC Mix 70% certified folding carton with on-pack FSC label” tells us exactly what to source, what cert to pull, and what label artwork to prepare. One sentence of specificity saves 10–15 working days.

Our typical timeline from confirmed brief to white sample is 7–10 working days for standard sustainable folding carton grades. Printed proofs follow 5–7 working days after white sample sign-off. Production samples for new sustainable substrates (bio-based films, novel fibre composites) run 12–18 working days due to material procurement lead times. These timelines assume artwork is supplied at correct spec on day one.

FAQ #

What artwork file format should I send for a sustainable packaging sample request?
PDF/X-1a is the format we work with for offset and digital print. Minimum 300 dpi for any embedded raster elements, 3mm bleed on all sides, all fonts embedded or outlined, CMYK colour mode. Pantone spot colours should be called out on a separate colour note — don’t assume they’ll be picked up from a RGB or sRGB build. Sending the wrong file format is the single fastest way to add 3–5 days to a sample cycle.

Does specifying FSC-certified board automatically make my packaging recyclable?
No — and this is a premise worth pushing back on. FSC certification confirms responsible forest management and chain of custody of the fibre source. Recyclability in the end market depends on the board’s coating type, the printing inks used, and the local collection and sorting infrastructure at destination. A clay-coated FSC board with a PE laminate is FSC-certified but not fibre-recyclable in most paper streams. Specify both the certification and the end-of-life claim separately.

What quantity tiers should I include in my RFQ for sustainable packaging?
At minimum, request pricing at 3 quantity points that bracket your realistic volume. For folding carton, we’d suggest 3,000 / 7,500 / 15,000 units as a starting framework. The cost curve on sustainable materials is steeper at low volumes than on conventional board — the difference between 3,000 and 10,000 units on FSC-certified stock can be 18–25% per unit, so understanding that curve before you commit to a volume matters.

How do I evaluate a white sample for sustainable material compliance?
Check the sample against the material TDS: confirm caliper (measure with a digital micrometer — for 350 gsm recycled board, expect 480–530 µm), check surface texture matches your print process requirement, and verify the certification label or COC number on the packing slip. White samples do not carry print, so colour evaluation waits for the printed proof stage — but structural performance, material weight, and certification status can all be confirmed at white sample.

Can I compare quotes from suppliers using different sustainable material grades fairly?
Only if the quotes specify the same material grade, certification, and basis weight. A quote for 300 gsm SBS virgin board and a quote for 300 gsm 80% PCR recycled board are not comparable on price alone — the board properties, print behaviour, and certification cost structure are different. When comparing, ask each supplier to quote against a common spec sheet with material grade, PCR %, certification body, and basis weight all fixed. Comparing against a common spec is the only way to isolate actual manufacturing cost differences.

How long does a sustainable material qualification take if I’m specifying a material we haven’t used before?
For materials already on our AVL — FSC-certified folding carton grades, standard PCR board, compostable mailer films — qualification is embedded in our normal sample timeline. For a material outside our AVL (a novel bio-based film grade, a new fibre composite) we run a 10–15 working day qualification cycle covering supplier COC review, material TDS review, and a short press trial before committing to a production sample. Skipping this step risks a substrate that performs differently on press than expected.

What’s the most common mistake brands make when comparing sustainable packaging quotes?
Comparing total box price without accounting for certification documentation cost. FSC license fees, third-party composting certification maintenance, and PCR content verification audits have real cost structures that some suppliers absorb into unit price and others quote as a separate line. Ask every supplier to break out material cost, processing cost, and certification/compliance cost as separate line items. When those are visible, comparisons across suppliers become meaningful rather than misleading.
