What a Complete Brief Actually Requires for Wood and Bamboo #
Most packaging categories tolerate a loose brief at the quoting stage. Wood and bamboo don’t. The structural variability in this category is wider than almost any other format we work with — species selection, joinery method, surface treatment, hardware type and placement, hinge specification, lid clearance tolerance, interior fitment — each of these has cost and timeline implications that a supplier cannot estimate without knowing your answers.
When a brand partner submits a brief to our team via our PQ-W01 Wooden Packaging Quotation Form, the minimum required fields are:
- External dimensions (L × W × H in mm), specified with lid closed. If you only know internal dimensions, state that clearly — we’ll back-calculate with appropriate wall thickness (typically 5–8mm for solid wood, 3–5mm for bamboo panel).
- Wood or bamboo species preference, or at minimum your functional priority (weight, hardness, grain appearance, sustainability certification). We stock paulownia, basswood, pine, and moso bamboo as standard. Specialty species like walnut or oak carry 15–30% material cost premium and require 5–7 extra days for sourcing.
- Quantity tiers — provide at least two tiers (e.g., 500 and 2,000 units). Wooden packaging has significant fixed costs in jig-making and CNC setup; the per-unit cost delta between 500 and 2,000 units is often 25–40%, so a single-quantity quote gives you an incomplete picture.
- Closure and hardware type: magnetic closure, clasp, hinged lid, sliding lid, ribbon pull. Each has different embedded component costs.
- Interior fitment requirements: foam insert, velvet tray, paper pulp, custom wood compartments. A bare box quotes very differently from one with a foam insert cut to a specific product shape.
If your brief omits any of these, expect either a requote round or a quote built on conservative assumptions that comes in higher than necessary.
Artwork Files: What to Send and Why Format Matters Here #
Wood and bamboo surface decoration involves processes that have different file requirements than paperboard printing. The three most common methods we run are hot stamping, laser engraving, and screen printing.
For hot stamping, we need vector artwork at 1:1 scale in .ai or .eps format. No embedded rasters, no gradients. Minimum positive line weight 0.3pt; minimum negative (knockout) line weight 0.5pt. If your logo includes fine serifs or thin strokes below these tolerances, the foil won’t hold cleanly.
For laser engraving, file format is similarly vector-preferred, but raster artwork is workable at 600 dpi minimum at 1:1 scale. The engraving depth on moso bamboo averages 0.3–0.5mm on our standard setting; on pine or paulownia, we run shallower at 0.2–0.35mm to avoid fibre blow-out on soft grain.
For screen printing on bamboo panels, we require files with clearly separated spot colour layers. Colour matching references should be supplied as Pantone Matching System (PMS) codes. We cannot colour-match from CMYK values on natural wood or bamboo surfaces — the substrate tone shifts printed colour perception significantly, and we always run a draw-down proof before production approval.
One brief gap we see repeatedly: brand partners supply artwork sized for a flat surface without accounting for routed edges or chamfers. If your box design includes bevelled or rounded edges, tell us the radius — we’ll advise whether the artwork can carry across that edge or needs to be clipped short.
Sample Types, Timelines, and What Each One Tells You #

The white sample is where most structural corrections happen. Evaluate lid fit (we target a clearance of 0.3–0.5mm on snug-fit lids), hinge movement, magnet pull strength (we specify N35 grade neodymium as standard — sufficient for lids up to 400g without over-snapping), and foam insert density if specified.
Don’t approve a white sample with known fit issues and expect the printed sample to fix them. The structural tooling doesn’t change between white and printed samples. Any dimensional correction after white approval resets the sample timeline.
For bamboo packaging specifically, check the panel grain and colour consistency on the white sample. Bamboo is a natural material and colour variation between panels is inherent. We sort panels into Grade A (tight colour band, ≤10% colour delta) and Grade B (wider variation, suitable for painted or fully engraved finishes) per our internal material classification. If you need tight natural colour uniformity, specify Grade A in your brief — there’s a material cost uplift.
Comparing Quotes from Different Suppliers: What the Numbers Actually Mean #
A quote comparison for wooden packaging is harder to do fairly than for printed cartons, because the line items are less standardised. Two quotes for “a hinged wooden gift box with foam insert” can differ by 30–50% while technically describing the same brief. Here’s where to look.
Species and grade are often unstated. Ask each supplier to specify the exact wood species and panel thickness in their quote. A paulownia box at 4mm wall and a pine box at 6mm wall have very different weights, costs, and perceived quality. Per FSC Chain of Custody certification (FSC-STD-40-004), certified suppliers should be able to provide a certificate code — request it if sustainability claims matter to your brand.
Hardware quality isn’t visible in a line item. Ask whether hinges are iron, zinc alloy, or stainless steel. Iron hinges oxidise in humid environments, which matters significantly for products destined for Southeast Asian markets or bathroom product applications.
Surface treatment chemistry. Varnish and lacquer formulations vary in VOC content and food-contact compliance. If your product is a food gift, confectionery, or tea packaging application, confirm the inner surface treatment complies with GB/T 5009.60 (for China-origin production destined for food-adjacent use) or relevant import market requirements. We document all inner-surface coatings on our Material Safety Data Sheet register as part of REACH compliance review.
Tooling and jig costs. Some suppliers quote tooling separately; others amortise it into unit price at a stated MOQ. Ask explicitly: “What is the tooling cost, and at what quantity is it fully amortised?” This tells you the true break-even for reorders.
One area where the cheaper supplier is genuinely the right answer: if your design is based on one of our standard box blanks (we maintain a library of 40+ standard CNC profiles), tooling cost is zero, and material cost is the only differentiator. For a standard size with screen print or engraving decoration, there’s no structural complexity premium to pay for.
Specification Notes for Brand Partners #
When you brief us on a wooden or bamboo packaging project, the information that drives the most variance in quote accuracy is: confirmed external dimensions with lid closed, product weight and fragility level (this determines foam density — we specify 25–45 kg/m³ PU foam depending on product weight), species preference or priority trade-off, and artwork files in the correct format per decoration method.
The most common brief gap that causes extra sample iterations is an unconfirmed internal product size. Brand partners often brief us before their product tooling is finalised, which is understandable, but if your product dimensions shift by more than ±2mm after white sample approval, the insert fitment needs to be recut and the white sample lead time resets.
Our standard sampling timeline is 7–10 working days for a white sample and an additional 10–15 working days for a printed proof, based on brief approval date. Timelines extend if specialty wood species need to be sourced, if interior fitment requires custom foam cutting profiles, or if more than one decoration method is being applied.
What minimum order quantity applies to custom wooden boxes?
Our standard MOQ for custom-dimensioned wooden boxes is 300 units for standard species and 500 units for specialty hardwoods. Below these quantities, tooling and jig amortisation makes unit costs uncompetitive, and we’ll say so directly rather than quote a number that doesn’t serve your project.
Can I request a sample before committing to a full quote?
Yes, though we need at minimum a confirmed dimension brief and decoration intent before cutting a white sample. A white sample without a complete brief often comes back with a fitment or hardware question that restarts the process — providing the PQ-W01 form in full eliminates that loop.
How do I evaluate foam insert quality on a received sample?
Check compression recovery: press the foam to 50% of its thickness and release. Grade A PU foam at 35 kg/m³ should recover to within 2% of original height within 10 seconds. Also check that the product sits flush or 1–2mm below the foam surface — product sitting proud of the foam line means the cavity is cut too shallow and won’t protect during transit per ISTA 2A shock and vibration parameters.
My artwork uses gradients — can that be engraved on bamboo?
Gradient fills can be converted to a halftone or variable-depth engraving pattern, but results vary significantly with bamboo grain direction. For logos or text, vector hard-edge art gives the cleanest result. If gradient rendering is essential to your design, request a test engraving panel on our standard bamboo grade before committing to a full sample — it costs very little and saves a sample round.
Does FSC certification cost extra?
FSC-certified materials carry a small but measurable cost premium over non-certified equivalents — in our sourcing, typically 8–12% on raw material cost, which translates to a smaller percentage of finished box cost. The more relevant question is whether your brand’s sustainability claims require documented chain of custody, because that’s what FSC-STD-40-004 provides. If your brief includes “eco-friendly” or “sustainably sourced” claims, request certified materials from the outset rather than retrofitting certification after sampling.
