Why This Foldable Gift Box Inquiry Still Needed Clarification Before Accurate Pricing

Quotation Readiness Case — Specification Review Completed

Why This Foldable Gift Box Inquiry Still Needed Clarification Before Accurate Pricing

A buyer supplied the size, colour, board thickness and quantities for a black foldable rigid gift box. The request was detailed, but the construction, product layout, packing method and French delivery terms were not yet defined well enough for a reliable production and freight quotation.

The decision: make the RFQ quote-ready before pricing it

An accurate foldable gift box quotation requires more than external dimensions, colour and order quantity. The supplier also needs the usable internal size, product dimensions and total packed weight, product arrangement, closure structure, wrapping-paper specification, insert requirements, flat-pack and assembly method, delivery postcode, shipping method and Incoterm.

For this 235 × 170 × 100 mm black foldable rigid box, UGI Packging did not want to guess a structure and present a price that might describe the wrong box. The practical next step was to identify the missing commercial and engineering inputs, then show the buyer how to send a request that can be calculated accurately.

The buyer’s original inquiry

The following text is reproduced from the supplied inquiry. No personal identifying information was included.

Hi, nice to meet you too.

I am looking for a simple black rigid foldable box for a small luxury ritual brand.

The required dimensions are: 235 × 170 × 100 mm.

I am looking for the simplest and most cost-effective option possible, while keeping a good-quality rigid structure.

Specifications:

  • External dimensions: 235 × 170 × 100 mm
  • Black, matte finish
  • Rigid cardboard, ideally around 2–2.5 mm thickness
  • Foldable construction, if this helps reduce shipping costs
  • No printing
  • No logo
  • No ribbon
  • No special finishing
  • No magnetic closure is required if you have a more economical closing system

The box will contain candles, stones, cards and a small ritual booklet, so it needs to be sufficiently rigid and strong.

For the first order, I am considering 100–200 pieces, with the possibility of ordering larger quantities later.

Could you please quote me for 100, 200 and 500 pieces, including shipping to France?

I would also like to know the MOQ, production time, shipping time and sample cost.

Thank you.

What the inquiry already made clear

This was not an empty or careless RFQ. It gave UGI Packging a useful starting point:

  • The box is intended for a small luxury ritual brand.
  • The requested external dimensions are 235 × 170 × 100 mm.
  • The preferred appearance is black with a matte surface.
  • The buyer prefers a rigid board around 2–2.5 mm.
  • A foldable construction is preferred if it lowers shipping volume.
  • Printing, logo, ribbon and decorative finishing are not required.
  • The buyer is open to a non-magnetic closing method.
  • The box must contain candles, stones, cards and a booklet.
  • Three quantity levels and delivery to France are requested.

Why those details were still not enough for an accurate quote

The unresolved items below can change the box structure, material consumption, labour, packing volume and delivered cost. They should be clarified before a supplier treats the quotation as comparable.

Already stated Still needed Why it changes the quotation
External size: 235 × 170 × 100 mm Usable internal size, product dimensions, clearance and arrangement Board thickness, folding joints and inserts reduce usable space; the products must actually fit without movement.
Candles, stones, cards and booklet Quantity, weight, dimensions, fragility and whether the items need separate compartments Load, protection and internal support affect the structure and packing method.
Foldable rigid construction A structure reference, dieline or preferred closure family Magnetic, tuck, self-locking and other collapsible constructions use different components, tooling and labour.
Black matte finish, no printing Black specialty wrap or printed black wrap, laminate/coating and scuff-resistance expectation “Black” and “no printing” do not identify one material route or one finish cost.
Board around 2–2.5 mm Final caliper/grade and whether the thickness is a preference or a requirement Strength depends on geometry, joints, wrap, support and load, not board thickness alone.
No magnetic closure required Accepted economical closure: tuck, tab, hook-and-loop, adhesive or another defined option Removing magnets leaves several possible constructions with different costs and user experience.
100, 200 and 500 pieces Confirmation that all quantities use the same size, colour, material and structure Setup and tooling are distributed differently at each quantity; mixed specifications are not equivalent tiers.
Shipping to France Postcode, delivery address type, deadline, shipping method and Incoterm A country alone is not enough to calculate freight, delivery timing, duties or tax treatment.
Sample cost requested Existing sample, blank white sample, structural prototype or finished custom sample Different sample routes have different material, tooling, labour and approval costs.

Ready to make your foldable gift box RFQ quote-ready?

Send the product dimensions, packed weight, closure preference, internal size, delivery postcode and target deadline. UGI Packging can then compare the structure and logistics assumptions before pricing.

How foldable construction affects the cost question

The buyer correctly identified shipping volume as a concern, but “foldable” should be treated as a design option rather than an automatic saving.

  • A box that ships flat can reduce carton volume, but the folding joints and assembly method still need to be designed.
  • A non-magnetic closure can reduce component cost, but the replacement closure must be specified and tested for the intended use.
  • A plain black exterior may avoid printing plates or decorative processes, but the exact black wrap, coating and surface durability still need to be confirmed.
  • A lower first quantity can increase the effect of tooling, setup, sampling and manual handling on the unit cost.
  • The most economical choice is the simplest structure that still fits, protects and presents the actual candle, stone, card and booklet set.

Buyers can compare relevant foldable gift box structures and finished examples before selecting the closest closure and folding method. Any example is a structure reference only; the final quotation remains tied to the confirmed product and production specification.

What a supplier needs before giving a reliable delivered price

  1. Confirm the usable internal dimensions and the dimensions, quantity and total weight of every item placed inside.
  2. Provide a simple top, side or hand sketch showing the product arrangement and any required divider, pad or insert.
  3. Choose the preferred foldable construction and an accepted closure method, or ask the supplier to quote two clearly named alternatives.
  4. Define the black exterior as a material and finish: for example, black specialty paper, printed black wrap, matte laminate or another agreed surface.
  5. Confirm whether the quoted quantity is for one colour and one structure, and request 100, 200 and 500-piece tiers on the same specification.
  6. Separate sample, tooling, unit, packing and shipping charges.
  7. Give the French delivery postcode, address type, shipping preference, Incoterm and required arrival date.
  8. State the practical acceptance criteria: fit, closure, appearance, load support, scuff tolerance and any transport test required.

A copy-and-send foldable gift box RFQ template

The following format gives a packaging supplier enough information to identify the construction before calculating the price:

Please quote a custom foldable rigid gift box with the following confirmed specifications:

  • Required usable internal size:
  • Product dimensions and quantity per box:
  • Total packed product weight:
  • Preferred box construction or reference image:
  • Closure method, or two acceptable alternatives:
  • Greyboard thickness and whether it is a preference or requirement:
  • Exterior wrapping paper and black colour reference:
  • Interior finish:
  • Insert, divider or protective pad requirements:
  • Flat-packed or factory-assembled delivery:
  • Order quantities for the same specification:
  • Sample type required:
  • Delivery postcode and country:
  • Preferred shipping method and Incoterm:
  • Required delivery date:

Please list tooling, sample, unit, packing and shipping charges separately, and identify any supplier-side starting quantity for the selected material.

What this Case does and does not establish

This Case establishes a quotation-readiness method based on the supplied foldable gift box inquiry. It shows why a detailed-looking RFQ can still leave the box structure and delivered cost undefined.

It does not establish a final unit price, universal MOQ, production time, shipping time, material approval or load-performance result for this box. Those outcomes require the confirmed construction, product set, sample route and delivery terms.

The next decision gate

Once the missing inputs are supplied, UGI Packging can separate structure selection, sample approval and commercial calculation instead of hiding assumptions inside one unexplained unit price.

Continue the quotation calculation

Use one confirmed specification for the 100, 200 and 500-piece comparison, then separate sample, tooling, packing and delivery charges.

Approve the production route

Before mass production, confirm the final internal fit, closure, black finish, insert, assembly method and delivery acceptance conditions.
