A useful sample and quotation request gives the supplier enough information to propose a production route without pretending that every technical value is already known. Separate confirmed requirements, target performance, open questions and the type of sample needed.
Information to include in the RFQ #
| Input | Details to provide |
|---|---|
| Product and use | Contents, fill state, contact conditions, package weight and opening/reclosure needs |
| Environment | Filling, sealing, storage, distribution, temperature and humidity conditions |
| Format | Rollstock or pouch type, dimensions, gussets, zipper, valve, spout, window and tear features |
| Performance | Known barrier, seal, puncture, light or shelf-life objectives and how they will be approved |
| Artwork | Dieline version, print-ready files, colors, finishes and variable information |
| Commercial scope | Quantity by SKU, delivery destination, Incoterm, packing and requested quote breakdown |
Choose the sample for the decision #
A stock material swatch can support early appearance or hand-feel review, but it does not prove the final dimensions, seals or printed result. An unprinted structural sample can support fit, filling and feature checks. A printed proof supports artwork and color review but may not reproduce the complete mass-production route. A production-representative sample is appropriate when the buyer must approve the combined material, printing, converting and functional result.
Write the approval scope on the sample record. If dimensions, material, artwork or filling conditions change afterward, identify which checks must be repeated. The pre-production pouch sample checklist provides a practical approval sequence.
Keep the quotation comparable #
Ask the supplier to state assumptions, exclusions, tooling, setup requirements, material purchasing constraints, price basis, validity, packing and delivery scope. Do not compare two prices until the structures and included services are aligned.
Use the flexible pouch RFQ checklist for the commercial brief and the artwork and dieline file guide for prepress preparation.
Frequently Asked Questions #
Can a supplier quote before the laminate structure is fixed? #
Yes, as a proposal or range if the product, use, environment and required functions are clear. The assumptions should be stated and confirmed before approval.
Does an unprinted sample approve print color? #
No. It can support size, feel and functional checks, but print color and finish require an appropriate printed reference or production-representative sample.
Should every project request the same sample type? #
No. Select the sample according to the decision: appearance, fit, filling-line compatibility, seals, barrier validation or final production approval.
What changes can invalidate an approved sample? #
Changes to dimensions, structure, gauge, adhesive, artwork, finish, converting details, filling conditions or supplier route may require partial or full reapproval.
