Business Stationery Design: Coordinated Print Specifications
A business stationery system should coordinate logo, color, typography and contact information while respecting the production requirements of each item. Business cards, letterheads and envelopes use different sizes, safe areas, paper, print coverage and equipment constraints.
UGI Packaging manufactures coordinated stationery in our factory using our prepress, printing, finishing and cutting operations. Buyers can specify cards through business card printing and match paper and artwork with envelope and letterhead printing.
Define the complete stationery set
List every item, finished size, user, contact-data version and writing or printer requirement. A letterhead may need to feed through an office printer; an envelope must leave clear address and postal areas; a business card needs readable small type and durable edges.
Create one source record for names, titles, phone numbers, addresses, legal name and website. Variable employee cards or regional offices need controlled spreadsheets and proofs rather than manual copy-and-paste changes.

Adapt the identity to each production format
Use a consistent visual system without forcing identical placement on every piece. Protect safe margins, folds, windows, glue areas and trim. Heavy coverage can affect writing, office printing, fold cracking and drying, so decoration should follow function.
The Ghent Workgroup PDF settings support production-file preparation. UGI Packaging checks fonts, page boxes, overprint, image resolution and spot-color naming before output.
Proof versions and physical performance
A PDF proof confirms names, titles, contact details and layout. A physical sample checks paper, writing, office-printer feeding, foil, embossing and envelope construction. Production starts after files, data, paper, finishes, version quantities and packing are approved.
Our QC team checks dimensions, version data, color consistency, trim, finish registration, envelope construction and packing labels. Common failures include obsolete contact details, mixed employee cards, letterhead that performs poorly in office printers and artwork crossing an envelope window or seam.
Frequently asked questions
Should every stationery item use the same paper?
Not necessarily. Coordinate appearance, but choose paper for each item’s writing, printing, folding and handling requirements.
How are employee business-card versions controlled?
Use an approved data file, unique proof for each person and packing labels tied to the quantity breakdown.
Can letterhead be tested in an office printer?
Yes. Approve a physical sample when toner adhesion, feeding, curl or writing performance matters.
What should be checked on envelope artwork?
Check the window, address zone, postage area, seams, folds, bleed, inserting direction and postal-market requirements.
